Developing Novel Technical Dashboard System for Efficient Management of the work procedures at the Department of Technical Services Operations in the Municipality Al Dhafra Region

The innovated developed Technical Dashboard Control Panel has been created mainly as a management tool which displays a visual presentation for the implemented data and performances of the working orders related to the operation and the maintenance for Roads and Public Parks at the cities of the Municipality of Al Dhafra Region. The striking feature of the innovated Technical Dashboard Control panel is its ability to provide results in a quick glance and an easy elaborated format. The dash board also possesses the ability of responding to any amendments, changes or updating circumstances of the data in an interactive and dynamics manner. The objective of creating the innovated Technical dashboard was to improve the professional management procedures in the Department of Technical Services Operations, thus it serves as an effective tool which enables the mangers as well as engineers of the Department to track the performance status of the work orders for the operations and the maintenance for the Roads and Public Parks in AL Dhafra cities. As the roles of The Department of Technical Services Operations is complex and diverse, there is a need to develop and design a professional efficient system which improves and track the performances of work orders of the operations and maintenance for Roads and public Parks and propose any needed amendments and rectifications.

·The operations and maintenance of Roads and Public Parks projects stem from work orders issued under annual contracts signed between the Al Dhafra Region Municipality and private sector contractors. The number of work orders was 52 in 2024, and for 2025, the number is 39 work orders.

• The creation of the dashboard depends mainly on the analysis of the input data obtained from annual plan as mentioned in the allocated budgets for the Roads and Public Parks, therefore, the input data represents backbone for developing the Dashboard.
• After conducting the analysis of the input data, the outputs results determine proper monitoring for the work order scheduled time of execution as well as the budget spending. The outputs of the data can be elaborated in a histogram chart, a pie chart, a donut chart, a pivot chart, a cumulative cash flow curve and KPI performance index.
• The dashboard will be designed as a result of exploiting the previously mentioned data. (See attached Appendixes).
• Generally, the data which used in the creation of dashboard is divided into two parts, the entries (displayed as tables) and the reports (representing the outputs which are obtained from data analysis).

The innovative developed dashboard is representing a real breakthrough in helping, facilitating and enhancing the work tasks of managers and engineers working at the Department of Technical Services Operations as it: 1. The system improves the performance of monitoring work orders through tracking procedures, resulting in a 60% improvement. 2. It manages the general budget by following up the progress in spending of the allocated budgets as well as following up on the completion of work rates, thus helping in predicting the challenges and deviations during the implementation of the work orders before they occur 3. It provides outputs of past and current performance data, which helps in making informed decisions and displaying reports on progress rates as well as determining the number of completed, ongoing, delayed and related work order cases, etc.). 4.The provides joint reports, which enhances cooperation between the centers of the Al Dhafra Region Municipality and the Technical Operations Department. This resulted in a 60% reduction in the time required for joint decision-making. Finally, the developed dashboard is playing a leading role in monitoring all implemented roads and public parks working orders as well as identifying trends of performance, predicting any potential problems and helps in providing proactive solutions for the work orders to fill any gaps appeared in implementation process.
