Organization Description:

VakıfBank was founded in 1954 with a capital of 50 million TL to support economic development and improve national savings. Today, with its broad branch network, digital channels, and international presence, it maintains a strong position in the banking sector and continues contributing to Turkey's growth.

In the competitive landscape of modern banking, the effective management of customer complaints is one of the most critical determinants of customer experience and operational resilience. Our Bank processes an annual volume of approximately 630,000 customer applications. While this substantial volume reflects our extensive market reach, the traditional methodology used to manage it created a significant operational bottleneck. Historically, the categorization and routing of these applications relied entirely on manual review. This approach was labor-intensive and slow, requiring an average of 3.5 minutes of focused human effort to classify a single application.

The cumulative impact of this manual dependency was staggering. Processing the steady annual influx of 630,000 applications consumed approximately 36,750 man-hours per year. This massive resource drain not only inflated operational costs but also introduced the risk of human error and processing delays.

To transform this challenge into a strategic asset, we developed and deployed an AI-driven classification system powered by advanced Natural Language Processing (NLP). This solution fundamentally reimagines the workflow: instead of human agents manually sorting through data, the AI instantaneously analyzes the semantic content of each complaint, classifies it with over 90% accuracy, and routes it to the correct department for immediate resolution.

The results of this digital transformation have been revolutionary, specifically regarding operational capacity. By implementing this project, we have reduced the classification time per application from 3.5 minutes (210 seconds) to a mere 1.5 seconds. This translates to a processing speed that is 140 times faster than the manual method. Consequently, the total annual labor required for this task has plummeted from 36,750 hours to approximately 262 hours. This drastic acceleration means we have effectively unlocked a massive capacity expansion, realizing an annual labor saving of 36,488 hours and achieving a 99% increase in operational efficiency.

Beyond the quantitative metrics, this project signifies a leap in service quality. By removing the categorization bottleneck, we ensure that customers receive faster and more consistent resolutions, directly enhancing satisfaction scores. Furthermore, the system's ability to instantly identify priority issues has significantly strengthened our compliance posture, ensuring seamless adherence to regulatory standards without the need for manual intervention. Ultimately, this initiative demonstrates how leveraging AI allows the Bank to maintain superior service standards and operational excellence, even at high volumes.
